Field sales and delivery visits
Keep delivery orders, visits and collections together
DistributorFlow helps distribution teams assign orders to sellers and review customer stops, delivery outcomes and recorded routes. The order list and map work together so you can investigate unfinished deliveries and collections without treating every pending order as a completed visit.

How does a delivery day work?
Review booked orders, approve the work and assign the responsible seller. Use seller and date filters to inspect that selection, then review the recorded delivery outcome and received amount for each customer. The same order information supports the map, customer balance and delivery follow-up.
Review orders before assignment
Check products, quantities, discounts, stock use and the customer location. Correct missing location data before expecting a useful map.
Select the seller and working date
Filter the order workspace to the person and day you want to review. Historical visits belong to their recorded day, rather than automatically becoming part of today's trip.
Record what happened at the customer
Record a successful delivery or a failed or cancelled outcome, along with the applicable receiving and visit information. A visit and a payment describe different facts.
Follow up on exceptions
Review pending orders, failed visits and remaining balances. Use the order history and customer record to decide the next action.
Which visits belong on the seller route?
A recorded visit can belong on the route even when the delivery failed or was cancelled: the seller still travelled to that customer. An order that remains pending without a recorded clear visit is not evidence that the seller visited. Seller and date selection determine which visit records you are reviewing.
| Order situation | How to interpret it |
|---|---|
| Delivered with a recorded visit | A completed customer stop and delivery outcome |
| Failed or cancelled with a recorded visit | A customer stop that did not become a successful delivery |
| Pending without a recorded clear visit | Work still requiring follow-up, rather than a confirmed stop |
Are road distance and route estimates exact?
Route distances depend on the recorded coordinates, available road-routing service and selected stops. They are estimates for reviewing work, rather than a promise that every road choice matches a particular navigation app. Recorded visit routes also differ from an uninterrupted GPS trace of every movement.
Manual route tools can start at the distribution, include selected customer or custom stops, and optionally return to the distribution. Use a custom stop when reviewing a real visit that does not have a customer order in the system. Location quality and routing availability still affect the estimate.
How do delivery results connect to customer balances?
Received amounts and discounts affect the financial side of an order; delivery status describes what happened at the stop. Review both before deciding that an order is complete. Customer ledgers provide the invoice and payment context for remaining amounts that need collection.
Product answers
Can I review a seller's previous delivery day?
Yes. Use the seller and available date filters to review recorded work for that period. A visit on a previous day should be reviewed in its own date context.
Does a failed delivery mean no travel took place?
No. A recorded failed or cancelled visit can still represent travel to the customer. It should be distinguished from a pending order that has no recorded clear visit.
