Setup guide
From a new distribution account to your first order
Set up business details and currency first, then add products, areas and a customer before entering an order. Use a small trial to check the full path from stock to delivery and receiving. This sequence helps a new team understand its workflow before adding its complete catalogue and customer list.
See the current packages and allowances before you choose.
What should you prepare before you start?
Have your business name, working email, a valid phone number, chosen currency and a few example products ready. Choose one customer area and one customer for the trial. Decide who will approve orders, who will book them and who will record the delivery outcome and payment.
- Use product quantities and units that your stock team already understands.
- Choose a real customer phone number and location you can check.
- Confirm the local invoice or reporting requirements your business needs.
- Agree which available-stock report your team will review.
How do you set up a new distribution account?
Create an account, verify the email and complete the business profile. Add categories and products, create an area, then add a customer in that area. Add the order takers and sellers who need access and assign their work areas. Check currency and permissions before entering the trial order.
Create and verify the account
Sign up using your name, email and password. Complete email verification and the remaining business details when prompted.
Add categories and products
Start with two or three products. Review the prices, quantities and barcode values you intend to use.
Create an area before a customer
Add the customer's area, then enter the customer record. Review the phone country code and customer location rather than leaving a location you cannot recognise.
Assign people and access
Create the required order taker and seller accounts and assign their areas or customers. Each person should use access appropriate to their work.
Record and review stock
Enter a small stock invoice and check its approval state. Select the stock report that matches the process you have agreed to follow.
How do you test the first order and delivery?
Create an order for the trial customer, check products, quantities, discount, receiving and delivery date, then save it. Review and approve the order, assign the seller and record the actual visit outcome. Finally, check the order, stock report and customer balance together so you know which event changed each record.
For the second trial, record a partial collection or a failed visit. This shows the team the difference between an outstanding amount, an unsuccessful delivery and an order that has not yet been visited. Do not use a successful-delivery status merely to make a pending item disappear.
What should you confirm before a wider rollout?
Confirm the stock report, customer pricing, role access and receiving process with the people doing the work. Review the current package allowances for the entire distribution. If you need offline counter sales, prepare POS online first and test saving and uploading a small sale on the device you will use.
Do not clear a device's browser data while it still has queued offline sales. Test your own printer, invoice layout and any required local process; a web POS description does not confirm every hardware or tax-system integration.
