Delivery work and daily review

Follow each delivery from assignment to the day-end collection

A salesman's route combines products to deliver, shops to visit and amounts to collect. DistributorFlow keeps those records connected while preserving the difference between a planned stop, a recorded visit and a completed delivery. Distance and fuel figures help review work when their underlying settings and locations are correct.

See the current packages and allowances before you choose.

What should the office check before dispatch?

Review the selected orders, stock use, customer locations and responsible seller. Check the seller/date filter before using the delivery list or map. A manager can perform the actions their account is permitted to use; the manager label alone should not be treated as access to every administration setting.

  • Check the customer and quantities on the order.
  • Confirm the assigned salesman and relevant working date.
  • Review expected collections separately from products to deliver.

What does the salesman record at each shop?

Record the actual delivery outcome and the amount actually received. A successful delivery with partial receiving can leave a customer balance. A failed or cancelled delivery with a recorded visit still represents a stop; a pending order without a recorded clear visit does not prove travel to the shop.

Keep delivery outcomes and collections separate
ExampleRecord to review
Goods delivered, only part paid Delivery outcome plus actual receiving and remaining balance
Shop closed after a visit Failed/unsuccessful visit and reason; do not mark as a completed delivery
Order not yet visited Pending work requiring follow-up

How should you interpret kilometres and fuel?

Route distance depends on recorded coordinates, the selected stops and the available road-routing service. Fuel cost depends on the employee's configured rate or the enabled price/efficiency calculation. A fuel estimate is not a measurement from the vehicle's tank, and a route through recorded stops is not necessarily a continuous GPS trace.

For an illustrative 40 km journey and efficiency of 20 km per litre, estimated use is 2 litres. Apply the appropriate configured price to estimate cost. This example is not a live petrol price or a claim about a particular employee's trip.

Check fuel type, positive efficiency, price source and currency before comparing estimates with an expense. Missing locations, road-service availability and changed vehicle efficiency can affect the result.

How do you reconcile the day?

Review the salesman's orders, visit outcomes and received amounts for the same period. Compare recorded collections with the cash or payment records handed to the manager or office. Investigate failed stops and remaining balances separately; changing a route display does not itself record a cash handover.
